Data Retention Policy

This Data Retention Policy explains how long IdeaForge keeps each type of record and what happens when it is deleted. It supports our Privacy Policy, Refund Policy, Buyer Protection Policy, Acceptable Use Policy and Creator Compliance Checklist.

1. Retention periods

Account data: 6 years after an account is deleted, in anonymised form only.
Sales records: 6 years (anonymised when a creator deletes their account).
Buyer downloads: 30 days from purchase.
Refund and dispute records: 6 years.
Penalty and breach logs: 6 years, including incidents and appeals under the enforcement ladder, and the IP address and device details recorded with a breach so bans can be enforced.
Technical logs: 90 days. This covers job logs, expired sign-in codes, and the IP addresses and browser details stored with sign-ins, checkouts and support messages.
Cookie and analytics data: 12 months.

2. When a creator deletes their account

Personal data (name, email, brand, sign-in details, IP addresses) is erased straight away, and any subscription is cancelled.
Sales, refund, dispute and penalty records are kept in anonymised form for the periods above, for legal and tax compliance.
Buyers keep access to bundles they bought for the full 30 days, even after the creator deletes their account. The files are then erased.
Deletion is paused while a penalty, appeal or buyer dispute is still under review.

3. Never early, always on time

Records and logs are never deleted before the end of their retention period. Creators can't delete products buyers can still download.
An automatic daily job deletes technical logs after 90 days and records after 6 years.
Your cookie choice is asked for again every 12 months, and analytics cookies expire after 12 months.

4. Admin visibility

Every retention action (anonymising an account, erasing files, purging logs or records) is logged with the date and the number of records affected, so our team can review it.
